Key Responsibilities

  • Office Operations Management: Oversee daily office functions, including call handling, visitor reception, mail distribution, banking transactions, and supply procurement.
  • Facilities & Space Optimization: Coordinate maintenance, upgrades, and space planning to ensure a safe, efficient, and welcoming environment for staff and guests.
  • IT & Systems Administration: Serve as the primary point of contact for all technology platforms (e.g., Microsoft 365, SharePoint, Monday.com, Adobe, Zoom, HRIS, VoIP, Keeper Security). Manage vendor relationships, troubleshoot issues, and ensure compliance with industry standards.
  • Onboarding & Training: Design and deliver comprehensive onboarding experiences for new hires, covering office tours, technology setup, policy introductions, and cultural immersion.
  • Event Coordination: Provide logistical and strategic support for internal events such as weekly staff meetings, monthly all‑hands gatherings, and external webinars.
  • Data Governance: Safeguard the confidentiality and integrity of both on‑site and remote data, working closely with the Compliance Officer to uphold privacy regulations.
  • Risk Management & Continuity Planning: Contribute to the development and execution of business continuity and disaster recovery plans, ensuring operational resilience.
  • Cross‑Functional Collaboration: Partner with the HR Senior Manager, Operations Director, and other stakeholders to align office processes with strategic objectives.
  • Continuous Improvement: Identify workflow inefficiencies, propose process enhancements, and lead implementation of best‑practice solutions.

Essential Qualifications

  • Bachelor’s degree in Business Administration, Health Services Management, Information Technology, or a related field.
  • Minimum of three years of experience in office administration, facilities management, or operations within a medium‑sized organization (25‑35 employees).
  • Demonstrated proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and collaboration tools such as Teams, SharePoint, and Monday.com.
  • Strong understanding of IT infrastructure basics, including network troubleshooting, hardware procurement, and software deployment.
  • Excellent written and verbal communication skills, with the ability to convey complex information clearly to diverse audiences.
  • Proven ability to manage multiple priorities, meet tight deadlines, and maintain composure under pressure.
