Why This Role Matters

The Business Support Manager – Entry Level is the backbone of our Terminal Operations function. This role ensures that every guest embarking, sailing, and disembarking experiences a seamless, safe, and memorable journey. By coordinating with internal partners, external vendors, and local authorities, you will help maintain the high standards that make arenaflex a trusted name worldwide.

Key Responsibilities

  • Participate in the continuous improvement of the embarkation process, identifying gaps, proposing enhancements, and supporting the rollout of new procedures across all terminal operations.
  • Drive operational efficiencies for both on‑site and remote arenaflex services, ensuring that guest interactions are smooth, timely, and exceed expectations.
  • Lead cross‑functional projects that streamline workflows, improve data accuracy, and enhance overall service delivery.
  • Maintain and update critical data sets such as Port Arrival Times, Daily Operations Reports, and Quality Assurance Reviews; generate monthly summaries and ad‑hoc reports for senior leadership.
  • Assist the Terminal Operations Manager with medium‑level stakeholder and crew engagement, including onboarding, training, and performance tracking.
  • Support the creation and maintenance of documentation for compliance requirements, ensuring all regulatory and internal standards are met.
  • Develop and deliver training content for internal teams, focusing on business process improvements and operational best practices.
  • Identify and resolve issues related to projects, documentation, and budgeting to keep initiatives on track and within scope.
  • Maintain comprehensive terminal operations documentation, including SOPs, diagrams, and guest embarkation checklists, to guarantee consistency across all locations.
  • Schedule, coordinate, and record internal meetings, ensuring clear communication of action items and follow‑up.
  • Serve as the primary point of contact for internal and external partners, managing feedback loops and communicating operational updates.
  • Travel to primary terminal locations (Port Canaveral, South Florida) and out‑ports as needed to provide on‑site support and hands‑on assistance.
  • Occasionally support out‑port teams with terminal and area dispatch duties, ensuring smooth operations during peak periods.
  • Lead Quality Assurance Reviews and schedule audits for terminal activities, driving continuous improvement.
  • Collaborate with other arenaflex divisions—such as Guest Services, Housekeeping, and Entertainment—to deliver a unified guest experience.
  • Act as liaison between arenaflex and external vendors, including customs, port authorities, local police, stevedores, security firms, and other service providers.
  • Foster positive relationships with external partners, ensuring compliance with local regulations and alignment with arenaflex standards.

Essential Qualifications

  • Bachelor’s degree in Business Administration, Hospitality Management, Supply Chain, or a related field.
  • Strong knowledge of travel products, the travel industry, and terminal operations, including embarkation procedures, guest transportation, and port logistics.
  • Proficiency with Microsoft 365 suite—Outlook, Word, Excel, PowerPoint, Teams, OneDrive, and SharePoint.
  • Demonstrated ability to manage multiple priorities in a fast‑paced environment.
  • Excellent customer service orientation with a track record of delivering high‑quality guest experiences.
  • Strong verbal and written communication skills, with the ability to convey complex information clearly.
  • Analytical, logical, and critical thinking abilities; comfortable interpreting data and making data‑driven decisions.
  • Experience in the travel or hospitality sector is preferred but not mandatory.
  • Willingness to work flexible hours, including weekends and holidays, to support peak travel periods.
  • Valid passport and ability to travel internationally as required.
  • Physical ability to lift up to 50 lb, push carts weighing over 500 lb, and operate warehouse equipment such as pallet jacks.

Preferred Qualifications & Skills

  • Three or more years of experience in cruise terminal operations, port logistics, or a comparable role.
  • Familiarity with arenaflex’s core systems, including DXP, Seaware, and Fidelio.
  • Experience with Microsoft Power Apps and Power Automate for workflow automation.
  • Knowledge of migration strategies for operations across the United States, Schengen area, Canada, Australia, and New Zealand.
  • Project management certification (PMP, PRINCE2) or demonstrated project leadership experience.
  • Fluency in additional languages, especially Spanish or French, is a strong asset.
