[Remote] Utility Support Admin (LATAM)

Chapman Management Group is a Washington D.C.-based boutique property management firm specializing in affordable and multifamily housing. They are seeking a LATAM Utility Support Admin to manage utility accounts and billing across their property portfolio, requiring strong organizational skills and attention to detail to proactively identify and resolve billing and service issues.

Responsibilities

  • Track utility accounts for all properties, including electric, gas, water/sewer, and other services
  • Download utility invoices and enter them into the system for payment processing
  • Monitor due dates to ensure all utility bills are paid on time and avoid service interruptions or late fees
  • Troubleshoot utility service issues or payment disputes and coordinate resolution with providers
  • Reconcile utility accounts and investigate discrepancies
  • Transfer utility accounts into the correct property name and billing portal as needed
  • Track utility usage over time and flag unusual spikes that may indicate leaks, equipment issues, or other problems
  • Maintain organized records of all utility accounts, invoices, and correspondence
  • Communicate with property managers and vendors regarding utility status and issues

Skills

  • Fluent in English (written and spoken)
  • Strong organizational skills and ability to manage multiple accounts simultaneously
  • Excellent attention to detail and follow-through
  • Proficient in Microsoft Office Suite (Excel, Outlook)
  • Comfortable working with online billing portals and data entry systems
  • Ability to identify discrepancies and resolve issues proactively
  • Strong communication skills for coordinating with providers and internal team members
  • Prior experience in utility management, accounts payable, or property administration
